Privacy policy

Last updated: 25 September 2026

This policy explains how Capital Orbit Group Ltd collects, uses and protects personal information. We are the data controller for the information described here.

We are registered in England and Wales under company number 15345537. Our registered office is 3rd Floor, 86-90 Paul Street, London EC2A 4NE. You can contact us about this policy at contact@capitalorbitgroup.com.

What we collect

  1. What you enter in our enquiry form: your name, email address and message, and, if you choose to give them, your phone or WhatsApp number, the country you are based in, how far along your plans are and how you heard about us
  2. Correspondence between us, including emails and notes of calls and meetings
  3. Information we need in order to carry out work you have engaged us to do
  4. Technical information your browser sends when you visit, such as your IP address and the page requested, which our hosting provider records in its server logs

Why we use it

  1. To respond to your enquiry, and to take steps you ask for before entering into an engagement
  2. To provide the services you have engaged us for, and to administer the engagement, including scoping, invoicing and record keeping
  3. To meet our legal obligations
  4. To keep the website running securely

Our lawful bases are our legitimate interest in responding to enquiries and running the firm, taking steps at your request before a contract, the performance of a contract with you, and compliance with a legal obligation. We do not add enquirers to marketing lists and we do not send marketing emails.

Who we share it with

We use service providers to run the website and our email: Vercel, which hosts the website; Resend, which delivers enquiry form messages to our inbox; and Google, which provides our email. They process information on our behalf under their data processing terms.

We share your information with a solicitor, accountant or other provider only where you have asked us to introduce you to them or to coordinate with them. We also share it where we are required to by law. We do not sell personal information.

Transfers outside the UK

Vercel and Resend process information in the United States, and Google may process it in the United States and other countries. These transfers rely on the UK's data bridge with the United States for providers certified under it, and on the UK Addendum to the EU standard contractual clauses in each provider's data processing terms. You can ask us for a copy of these safeguards at contact@capitalorbitgroup.com.

How long we keep it

We keep client records for as long as we act for you and afterwards for the period required by our legal obligations. Enquiries that do not become engagements are deleted once they are no longer needed.

Our providers also keep limited copies: Resend keeps a record of each enquiry it delivers, including its content, for 30 days, and our hosting provider keeps server logs for up to a day.

Your rights

Under UK data protection law you may request a copy of the personal information we hold about you, ask us to correct it, ask us to delete it, object to how we use it, or ask us to restrict its use. To make a request, email contact@capitalorbitgroup.com.

Complaints

If you are unhappy with how we have handled your personal information, email contact@capitalorbitgroup.com with the subject line "Data protection complaint". We will acknowledge your complaint within 30 days, look into it, and tell you the outcome without undue delay.

You also have the right to complain to the Information Commissioner's Office (ICO), the UK regulator for data protection, at ico.org.uk.
